City of Roeselare transforms digital communications with their new DAM system

Keeping an overview of all media assets, maintaining all different channels and having clear guidelines for all employees. It remains a challenge. Yoke Aerbeydt of the City of Roeselare explains how the collaboration with Catena Company could answer this pressing question.

Decentralised assets and increased delivery points

For the City of Roeselare, managing an extensive digital ecosystem has always been a complex task. The Communications Department was faced with the challenge of efficiently managing a multitude of digital channels – from quick mailings to social media, websites and internal communications. The necessity to keep a multitude of communication materials organised and accessible was evident.

“We faced big challenges”, continues the communications officer. “Outdated or incorrect campaign material would occasionally turn up on our channels. GDPR compliance was another tricky matter, as was dealing with the cluttered storage of photos and documents.”

A turning point thanks to Catena Company

The transition from their outdated, cluttered image database to DAM, facilitated by Catena Company, became a turning point.

With Catena Company’s help, they opted to carefully build the taxonomy within Bynder. “We took our time, as recommended by Catena Company, which allowed us to think carefully about how to structure everything without getting stuck in overly detailed categorisations.” It was important to create broad, general themes that made it easy for everyone – from new to experienced employees – to quickly find the right assets.

“In a way, we had the advantage of already having an old image bank before we started this. Although it had become completely disorganized and we couldn’t really find anything back in it either. So, we had a clear idea of what we did nog want to end up with, which does help to see what you do want.” – Yoke Aerbeydt, Communications Officer @ Stad Roeselare

Closer collaboration and consistent brand identity

Since implementing Bynder DAM, communication issues have disappeared. “With everything centralised, maintaining our brand identity consistently has become straightforward. Collaboration has improved significantly, which was not possible before”, Yoke said. “Sharing links to collections for specific campaigns or events has greatly enhanced our efficiency.”

The City is now also considering using Bynder’s Brand Guidelines to optimise the collaboration with external agencies and partners. “While we already had a comprehensive brand guide in PDF, DAM offers the opportunity to make it digital and more interactive.”

A flawless transition to a new DAM

Working with Catena Company and implementing their new DAM not only helped the City of Roeselare to effectively manage their digital assets, it also fundamentally improved the collaboration between the communications team and other departments within the city.
